Who we are

Claire Portman PMU is a permanent makeup studio run by Claire Portman at Rosendaal, Main Rd, Edenbridge TN8 6JH. In this policy, "we", "us" and "Claire" mean Claire Portman PMU.

What this policy covers

This policy explains what personal information we collect when you visit this website, get in touch, book an appointment or have a treatment, how we use it, who we share it with, how long we keep it and the rights you have over it.

Information we collect

When you get in touch

If you message us on WhatsApp, call, text, email or contact us through Instagram or Facebook, we receive your name, phone number or email address and anything you choose to tell us, including any photos you send of your brows.

When you book

Appointments are booked through an online booking system run by a third party. It collects your name, contact details and appointment details, and handles any deposit payment. We never see or store your full card details.

Your client record

Before your treatment we keep a client record so we can treat you safely and give you the best result. This includes:

• your name, date of birth and contact details
• your consultation form, including medical history, medication, allergies and skin conditions that affect whether treatment is suitable
• your patch test results
• treatment notes, including the shape agreed, pigments and colours used, and dates of each appointment
• before and after photographs of your brows

Health information is a special category of personal information, and we treat it with extra care.

When you visit this website

This website does not use cookies and does not ask you for any personal information. It is hosted by Cloudflare, whose servers keep short-term technical records such as IP addresses to protect the site from attacks. We use Cloudflare Web Analytics to see how many people visit and which pages they read. It does not use cookies, does not track you across other websites and does not identify you.

How we use your information

We only use your information where the law allows us to. We use it to:

• answer your questions and arrange your consultation and appointments (to take steps you have asked for before entering into a contract, and to carry out that contract)
• assess whether treatment is safe for you and carry it out with care (with your explicit consent, given on your consultation form, for your health information)
• keep accurate treatment records, which we need for your aftercare, any top-up or colour boost, and our insurance (our legitimate interests and legal obligations)
• send you appointment reminders and aftercare information (to carry out our contract with you)
• share before and after photos of your brows on this website or social media, only if you have given your written consent (consent)

We will never use your information for marketing without your permission, and we never sell it.

Photographs

Before and after photos are taken as part of your treatment record. They are kept with your client record and are not shared.

With your separate written consent, we may also use photos of your brows to show our work on this website, on Instagram and on Facebook. We crop photos to show your brows and do not publish your name. You can withdraw this consent at any time and we will remove the photos from our website and social media accounts as soon as we can. Photos already shared or saved by others before you withdraw consent may be outside our control.

Who we share it with

We only share your information where we need to, with:

• the online booking system we use to manage appointments and deposits
• WhatsApp (part of Meta), Microsoft (our email provider) and our phone network, when you choose to contact us that way
• Cloudflare, which hosts this website
• our insurers, accountant or legal advisers, where needed
• anyone we are required by law to share it with

Each of these providers is responsible for keeping your information secure. Some of them store data outside the UK. Where they do, they use safeguards approved under UK data protection law.

How long we keep it

• Client records, including consultation forms, patch test results, treatment notes and before and after photos, are kept for 7 years after your last treatment. Our insurance requires this.
• Messages and enquiries that do not lead to an appointment are deleted after 12 months.
• Photos used to show our work stay published until you ask us to remove them.

When information is no longer needed, it is securely deleted or shredded.

Your rights

You have the right to:

• ask for a copy of the personal information we hold about you
• ask us to correct anything that is wrong or incomplete
• ask us to delete your information, unless we need to keep it for insurance or legal reasons
• ask us to limit how we use your information, or object to how we use it
• withdraw your consent at any time, for example to the use of your photos

To use any of these rights, email claire_portman@hotmail.com. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Cookies and other websites

This website does not set any cookies.

Our pages link to other websites and apps, including our booking system, WhatsApp, Google Maps, Instagram and Facebook. When you follow one of those links, that service's own privacy policy and cookies apply.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
